Preserve the actual sources of every time requirement
Start with the hearing notice or decision, its delivery information and any attached instructions. Add the relevant academic regulation, procedural page and existing correspondence. Preserve original files without editing them. For a portal document, record the access date and document title. A calendar entry without a source is a reminder, not reliable deadline documentation.
Distinguish expressly stated dates from your calculations and personal targets. Phrases such as “within”, “by” or “after receipt” may rely on different starting points and rules. Copy the original wording before interpreting it. If delivery date, time zone, closing time or required form is unclear, mark that field unresolved rather than supplying an assumption.
Keep the calculation and its assumptions visible
Record the route from the source wording to the calendar result. Identify the starting event, rule used, days considered and any special treatment only where an applicable source actually supports it. An online calculator may assist arithmetic, but it cannot choose the governing provision or validate the facts entered.
Where uncertainty remains, do not invent a supposedly safe deadline. Maintain two fields: a precautionary internal target and a binding date awaiting clarification. Ask the office named in the notice about the starting point, format and receipt requirement. Preserve the question and reply. Silence does not confirm your interpretation.
If a date changes, do not overwrite the earlier row. Add the amendment date, source and new status. This reveals whether an extension was requested, granted, declined or merely anticipated. Precise labels stop a submitted request from later appearing as an approved change.
Separate internal buffers from the external endpoint
Work backwards through evidence review, passage analysis, draft preparation, independent reading, appendix control and technical submission. Give each stage an internal target. Those targets do not alter the procedural date and should look different in the calendar. Colour may help, but textual status labels are needed for accessibility and exported copies.
Map dependencies. File access, an administrative answer or supervisor feedback may affect the draft. Record which task waits for which information and what can proceed independently. If an external reply remains outstanding, identify the formal route for a time question early rather than waiting until every other task is complete.

Check format, recipient and receipt as one process
A finished response has not yet been submitted. Check file type, signature, attachments, size limits, subject line, case identifier and accepted route. Address the office identified in the notice. Sending material to a supervisor or student representative does not necessarily deliver it to an examinations office or panel.
Preserve the exact package sent and its appendix list. Retain the available transmission evidence, such as a portal receipt, documented postal dispatch or confirmation used by the procedure. Read status labels carefully: “uploaded” may not mean “received in time” or “formally accepted”. Report only the status actually shown.
