Use source notes as evidence of the writing process

In brief: A useful source note ties an exact location in a named edition to your own critical step and to a later passage in the dissertation. Record the source identity, page or section, quoted core, independent paraphrase, intended use, uncertainty and draft release. Preserve the original dated note and add corrections as later entries. The result cannot prove authorship by itself, but it can make the intellectual route inspectable.

What reading notes can and cannot establish

A contemporaneous note collection can show what was read, when it entered the project and how a proposition was tested or reshaped. It becomes informative when precise locations sit beside independent summaries, objections and links to named draft releases. A folder of downloaded PDFs proves little about intellectual engagement, while an automatically imported bibliography records discovery rather than use.

Do not rewrite old notes into an artificially smooth story when a question arises. Preserve the historic entry, then attach a dated clarification. Genuine research contains false starts, rejected interpretations and changed terminology. An honest record of those changes is often more credible and more useful than a flawless retrospective narrative.

Notes do not cure missing citations, validate a claim or determine the outcome of an academic procedure. They are contextual evidence. The institution's regulations and the request made by the responsible examination body govern what should be supplied. Separate quotation, paraphrase and original inference

Mark copied wording with quotation marks and a location at the moment of capture. Delaying this until the final edit creates avoidable ambiguity. For a paraphrase, first describe the proposition and its conditions. Draft your account without following the original sentence, then compare it with the complete passage. A chain of synonyms can remain structurally dependent even when no individual phrase looks identical.

Give your own ideas a separate label. Distinguish a hypothesis, synthesis, methodological decision and interpretation of results. A synthesis should identify every source that carries an essential part of it; one citation must not stand in for a larger conclusion it does not support. Record disagreement as well as support, because excluded contrary evidence may be central to understanding the decision.

If you know a work only through a secondary citation, say so. Do not imply that the original was inspected. Record an unsuccessful attempt to obtain it and either cite the source you actually read or return to the primary publication later. This modest distinction prevents false precision and creates a clear research task.

Connect notes to stable manuscript releases

The trail grows stronger when each consequential note points to a specific draft. Page numbers alone are fragile because pagination changes. Use a stable designation such as “D7-S3.2-P4” for draft seven, section 3.2, paragraph four, then map that marker to the heading and page in the submitted document.

Keep rejected notes with a reason such as “not used: population not comparable”. Deleting them hides a genuine selection decision. If a reading changes, retain the earlier statement and add a dated correction explaining what prompted it. This prevents a later understanding from being presented as if it had existed throughout the project.

For a large dissertation, maintain one index linking to the underlying notebooks. Export important cloud notes at milestones into a durable, searchable format. Test whether timestamps, attachments and links survive. Do not include passwords, unauthorised full-text copies or unnecessary personal information in a broadly shareable package.

Prepare a focused sample rather than a data dump

Select several central claims, one direct quotation, one demanding paraphrase and one abandoned line of reasoning. Work backwards from the submitted paragraph to the draft, note and precise source location. Then travel forwards from the source to the final use. Both directions should work without relying on the student's memory.

  1. Open the exact submitted file and identify the passage.
  2. Resolve its paragraph marker to the corresponding note ID.
  3. Confirm the edition, location and surrounding context.
  4. Compare source wording, private summary and submitted sentence.
  5. Check the in-text citation and bibliography entry.
  6. Record discrepancies and any later explanation separately.

A complete notebook export may be disproportionate and may expose confidential reflections, copyright material or personal data. Produce an organised and necessary selection while preserving the source collection unchanged. If a formal request specifies scope or format, follow that request and the responsible institution's process.

Label reconstructed trails honestly

When contemporaneous notes are missing, a route can sometimes be reconstructed from manuscript releases, reference-manager records and comments. Title it “retrospective reconstruction”, give the compilation date and identify every underlying record. A new document must not be presented as an old research diary. Unmodified drafts and internally consistent source decisions can still provide meaningful context.
