Specific

Your AI Usage Statement should connect the tool, version, date, purpose and affected parts of the work. A statement without a date and a scope cannot be checked against anything.

Verifiable

Explain in your AI Usage Statement how you checked facts, sources, code or phrasing yourself. This is the part that shows the output passed through your judgement rather than straight into the document.

Compliant

Use your institution's required wording and format for the AI Usage Statement. The export is a working draft, not an official certificate, and it does not make otherwise prohibited use permissible.

Why write it while you work

Reconstructing this at the end is guesswork

Writing an AI Usage Statement from memory just before submission can leave important details missing. The result is vague — and vagueness is what makes a transparency statement useless to the person reading it.

Keeping your AI Usage Statement up to date as you work takes a short entry for each use and produces something specific enough to stand behind. It also gives you an honest answer if you are ever asked how a particular passage came about, which is a far better position than trying to remember.

How to read an AI result

Your work step, clearly documented

Record what changed, how you checked it and what you contributed.

“I used ChatGPT” does not explain how the tool affected a piece of work. A useful AI Usage Statement connects the tool and date with the affected section, purpose and your subsequent review. The generator organises your account; it cannot verify whether it is true.

Add one entry per work step. Separate outlining from language revision. Name sections or files so that you can identify them later.
Describe your review specifically. Explain which sources you checked or which tests you ran. “Checked everything” is less informative than a concrete action and its outcome.
Edit and export your record. Entries can be changed or removed. Download an editable Word (.docx) file, a CSV table, or use print to save a PDF. Adapt the result to your institution’s required form.

Before you submit your statement

Is this an official certificate?

No. Your AI Usage Statement is a structured account based on your own entries, not independent evidence of how the work was created. Use your institution’s prescribed statement if there is one.

Are my entries saved automatically?

No. They exist in this browser tab until you export them. Reloading or closing the page can lose them. Save completed exports with your project documents in an appropriate location.

What if I do not know the model version?

The version field is optional. Leave it blank or state that it was not recorded. Do not invent a version or date. Start keeping the required records for future use.
